Provincial Priory of Northumberland Knights Templar
Your Data
This notice is for all, candidates and Masonic Knights Templars of the Provincial Priory of Northumberland. It applies to the processing of your personal data by the Provincial Priory and potentially, the Great Priory of England and Wales and its Provinces Overseas as specified under the Data Protection Act (2018).
Section 1 sets out the purposes for which your data will be used by the Provincial Priory and if you are a candidate to become a Knight Templar.
Section 2 sets out the purposes for which your data will be used by the Provincial Priory of Northumberland if you are already a Masonic Knight.
Section 1. Use of your data during your application to become a Freemason
As a candidate to become a Knight Templar, you consent to the processing, retention and sharing of your personal data for the purpose of assessing your application to become a member of this masonic Order. Data will also be used in accessing your suitability for future promotion and career development in the Order within the Provincial Priory of Northumberland.
You can withdraw your consent and request erasure of your data at any time prior to your installation as Knight by notifying your Proposer or Seconder that you wish to cancel your application. Your request will be fully respected and discreetly actioned without delay.
Section 2. Use of your data after you become a Masonic Knight Templar
As a Masonic Knight Templar, your data will be processed, retained and shared for any reasonable purposes required by the Great Priory of England and Wales’s Statutes or the bodies it sanctions from time to time. These purposes may include, but are not limited to, the following purposes:
- Assessing any Masonic applications you make;
- Registering you as an installed Knights of the Order Masonic of Knights Templar;
- Receiving communications from your individual Preceptory, Provincial Priory, Great Priory and Mark Mason’s Hall to which you are entitled as a Knight of the Order;
- Recording the progress of your career in the Order; and
- Masonic disciplinary processes.
You may stop your data from being used by this Provincial Priory should you wish to resign and should do so by contacting the Provincial Vice Chancellor as follows:

Please contact the Provincial Vice Chancellor by post or email as listed above if you wish to:
- Object to your Preceptory or Province processing your data;
- Request access to your data; or,
- Request emending of your data.
The legal bases on which your personal data will be used in accordance with this Section 2 are:
- The legitimate interests of the Provincial Priory of Northumberland as a not for profit membership organisation; and,
- The fulfilment of contractual obligations owed to you by your Preceptory supported by the Provincial Priory of Northumberland.
In this notice, “The Statutes” means the General Laws and Regulations for the Government of Knights Templar of the Great Priory of England and Wales and its Provinces Overseas as amended from time to time.
Data Protection Policy
This data protection policy regulates how the Provincial Priory of Northumberland processes and stores personal data of its members and applies it to its’ members and potential candidates. The purpose is to ensure that the Provincial Priory of Northumberland complies with the Data Protection Act (2018) and with the high data protection standards the Law requires and is compliant with the introduction of the General Data Protection Regulations.
In this policy, “personal data” means any recorded information which identifies a living individual.
This data protection policy regulates how the Provincial Priory of Northumberland processes and stores personal data of its members and applies it to its’ members and potential candidates. The purpose is to ensure that the Provincial Priory of Northumberland complies with the Data Protection Act (2018) and with the high data protection standards the Law requires and is compliant with the introduction of the General Data Protection Regulations.
In this policy, “personal data” means any recorded information which identifies a living individual.
1. Purposes
As a membership organisation, the Provincial Priory of Northumberland retains and shares personal data of its members for the purposes set out in Section 2 of this Data Protection notice. Where the Provincial Priory of Northumberland employs or contracts with a member it may also process, retain and share personal data of that member for all lawful purposes related to that employment or contractual relationship.
The Provincial Priory of Northumberland will not collect or store personal data of members for any other purposes.
2. Appointment of a Data Protection Officer
Provincial Priory of Northumberland has appointed the Provincial Vice Chancellor (E.Kt David L Armstrong) as the Data Protection Officer who is responsible for overseeing compliance with Data Protection Law and will act as the single point of contact for members and the Information Commissioner’s Office (details pertaining to the “ICO” can be found at the following link https://ico.org.uk/).
The Data Protection Officer will have a direct line of communication with the Provincial Data Protection Officer and shall have, or shall undergo training to ensure that he has, knowledge of Data Protection Law and Practices.
3. Members’ Data Rights
A member of the Provincial Priory of Northumberland may request that the Data Protection Officer to:
- Provide him with a copy of all personal data that the Provincial Priory holds about him. The Data Protection Officer shall provide a copy of all information required to be disclosed by law within 10 working days following receipt of the application.
- Rectifies any incorrect personal data held by the Provincial Priory of Northumberland. The Data Protection Officer shall promptly consider such a request and respond to it in accordance with the Data Protection Act (2018).
- Stop the Provincial Priory of Northumberland from some, or, all of its processing of his personal data. The Data Protection Officer shall promptly consider such an objection and respond to it in accordance with the Data Protection Act (2018).
4. Deletion of Personal Data
A member of the Order may resign from his Preceptory at any time. After the Preceptory Secretary has processed such a resignation(s) the Preceptory and the Provincial Priory of Northumberland shall delete personal data that it holds about that member as set out in the Data Protection Notice.
5. Sharing Data with Third Parties
As a membership organisation the Provincial Priory of Northumberland and its’ Preceptories shares:
- Personal data of its members discreetly for Masonic purposes within the Provincial Priory of Northumberland; and,
- Personal data of members with other Preceptories in the Provincial Priory of Northumberland as required by the Statutes of Great Priory, or bodies it sanctions from time to time. It will not share personal data of members for any other reason unless it has the explicit consent of the relevant member.
6. Data Protection Notice
The Provincial Priory of Northumberland shall publish a Data Protection Notice so that it is available to members. The Notice shall comply with the requirements of Data Protection law and among other things, shall inform members how their personal data will be used by the Provincial Priory of Northumberland and how they may contact the Provincial Priory of Northumberland’s Data Protection Officer.
7. Data Security
The Provincial Priory of Northumberland along with all its subordinate Preceptories shall periodically review the security of its’ records and processing activities, and shall take appropriate steps to assure the confidentiality, integrity and availability of personal data that it holds. A formal log, signed and dated, shall be maintained of all actions and decisions enacted. The next review date shall be explicitly published and placed in the Vice Chancellors’ diary.
8. Registration with ICO
The Provincial Priory of Northumberland shall maintain its annual registration with the ICO (https://ico.org.uk/for-organisations/data-protection-fee/).
9. Reporting breaches to the Data Protection Officer
Actual or potential breaches of this policy, or of data protection law by the Provincial Priory of Northumberland, shall be reported immediately to the Data Protection Officer. Breaches shall be reported, if required, by the Data Protection Officer to the ICO or to the member(s) whose data is affected. Normally the Data Protection Officer shall not report breaches without prompt and timely prior consultation with the Provincial Prior through the Provincial Vice Chancellor’s office.

Your Data
This notice is for all potential candidates and Masonic Knights belonging to the Provincial Priory of Northumberland. It applies to the processing of your personal data by the Lodge.
Section 1 sets out the purposes for which your data will be used by the Provincial Priory of Northumberland if you are a candidate.
Section 2 sets out the purposes for which your data will be used by the Provincial Priory of Northumberland if you are a member.
Please note that your personal data will also be processed by your individual Preceptory and the Great priory of England and Wales and its Provinces Oversea as separate data controllers and may be referred to their respective Data Protection Notices.

As a candidate to become a Knight Templar, you consent to the processing, retention and sharing of your personal data for the purpose of assessing your membership application and any other appropriate and relevant masonic Knights Templar applications you may make.
You can withdraw your consent and request erasure of your data at any time prior to your installation by notifying your Proposer or Seconder that you wish to withdraw your application.
2. Use of your data after you become a masonic Knight Templar
As a member of the Order of Knights Templar, your data will be processed, retained and shared for any reasonable and appropriate purposes required by the Great Priory Statutes or the bodies it sanctions from time to time. These purposes include, but are not limited to, the following purposes:
- Assessing any Masonic applications you make;
- Registering you as an installed Knights of the Order Masonic of Knights Templar;
- Receiving communications from your individual Preceptory, Provincial Priory, Great Priory and Mark Mason’s Hall to which you are entitled as a Knight of the Order;
- Recording the progress of your career in the Order; and
- Masonic disciplinary processes.
You may stop your data from being used by your Preceptory or the Provincial Priory by resigning from your Preceptory. You should in the first instance contact the Provincial Vice Chancellor by email or in writing by post to if you wish to:
- Object your Preceptory or Provincial Priory processing your data;
- Request access to your data; or
- Request rectification of your data.
